In shortContacts are the people you can email. Add them one at a time, import a CSV (an email column is required) or capture them with a lead form. Then group them: a list is a named group you build on purpose, and a tag is a label that can sit on contacts across many lists. A campaign can target any mix of lists and tags, or all contacts. Organising contacts is free.

What contacts, lists and tags are for

Everything you send in CRM and email goes to contacts. You get them in three ways: you add them by hand, you import a CSV file, or a visitor fills in one of your lead forms. Every route ends in the same place, CRM and email → Leads → Contacts.

Lists and tags decide who gets each campaign. Use a list when you want a fixed group, like "Webinar attendees, November". Use a tag for a property that cuts across groups, like "customer" or "trial". When you pick lists and tags as a campaign audience, AI Rank Lab combines them and sends each person one email, even if they are in several of them.

Before you start

  • For a CSV import: a .csv file of 10 MB or less with an email column. Optional columns are name, gender, age and category. Any other column is saved as a custom field.
  • Permission to email the people you import. Imported contacts start as subscribed, so remove anyone who has opted out elsewhere before you import.

Step by step

  1. Open ContactsGo to CRM and email → Leads → Contacts. The page is titled CRM Contacts & Leads. Until you add someone it says No contacts found. Create or import contacts to get started.
  2. Add one contact, or import a CSVClick Add Lead for a single person (Email is required; Name and Category are optional), then Save Lead. For many people, click Import CSV, choose the file, and optionally pick a list under Also add them to a list (optional). Click Import Now. Rows that fail are listed with their row number and the reason.
  3. Create a listOpen CRM and email → Email campaigns → Lists and tags, stay on the Lists tab and click Create list. Choose Pick contacts, Import CSV or Start empty, give it a List name, and save. Inside a list you can Add contacts, Import CSV into list, Rename it, or click Send a campaign to open the composer with that list already chosen.
  4. Create tagsSwitch to the Tags tab, type a name in New tag name, e.g. VIP and click Add tag. Tags are applied from the Contacts page, not from here.
  5. Bulk-edit from ContactsBack on Contacts, tick the people you want (or use the filters first, then the header checkbox, which selects the up to 50 contacts shown on the current page). A bar appears with Add to list, New list from selection, Tag (add or remove a tag) and Delete. The Tag button stays disabled until at least one tag exists.
  6. Track where each lead standsEach row has a pipeline stage (new, contacted, qualified, proposal, won or lost) and a View Client Journey button that shows the visits and pages linked to that contact.

How to read the table

Use the filters to answer questions like "who on my Webinar list is still subscribed?": pick the list, set the status to Subscribed, and the count updates. Unsubscribed contacts carry a badge and are skipped by every campaign. Export CSV downloads your contacts, which is useful before a big clean-up.

Enrichment can be an estimate

The Company & Role and Enrichment columns are filled by an enrichment service. When it has no data for an address, AI Rank Lab falls back to an AI estimate or default values. Treat those fields as a hint and check them before you rely on them in a sales conversation.

Bulk delete is permanent

Deleting contacts removes them from every list and cannot be undone. Export a CSV first if you might need them back.

Duplicates are handled for you

Importing an address that already exists doesn't create a second contact. If you import into a list, the existing contact simply joins the list. Without a list, the row is reported as "Contact already exists".

Use your extra columns in emails

Extra CSV columns become custom fields, and you can drop them into a template as {{custom.ColumnName}}, using the column name exactly as it appears in your file.

Check yourself

1. A customer is on your Newsletter list and your Webinar list. You send one campaign to both. How many emails do they get?
2. When should you use a tag instead of a list?
3. You import a CSV without picking a list, and some addresses already exist. What happens to those rows?
