In shortTo send a campaign, open CRM and email → Email campaigns → Campaigns, click New campaign and fill four steps: details and subject, audience (lists, tags or all contacts), template and sender (your SMTP account). Send yourself a free test, then send now or schedule. Credits for every recipient are charged when sending starts, and pausing or deleting a campaign does not refund the unsent share.

What campaigns are for

A campaign is one email sent to a group of contacts: a product update, a newsletter, an offer. It goes out through your own SMTP account, at the speed that account allows, and AI Rank Lab records who received it, who opened it and who unsubscribed. Use form follow-ups for one-to-one welcome emails; use campaigns for everything you send to many people at once.

Before you start

The Campaigns page shows a Get ready to send checklist until these are done: Connect an SMTP sender, Add or import contacts, optionally group them into a list, and Pick or design an email template. If you skipped any, see Set up tracking, CRM and SMTP, Contacts, lists and tags and Email templates.

Step by step

  1. Start a new campaignClick New campaign. The composer has four numbered steps on the left and a summary on the right that tells you what is still missing.
  2. 1. Campaign detailsEnter a Campaign name (only you see it) and a Subject line. Click a Personalize token to insert {{name}} or {{email}}.
  3. 2. AudiencePick one or more Lists and Tags, or switch on All contacts. The summary shows the live recipient count and the credits it will need. Unsubscribed contacts are left out automatically.
  4. 3. Email contentChoose a template. Use the preview to check it. The subject you typed in step 1 is the one recipients see.
  5. 4. SenderPick the SMTP account to send from. If you have none, the composer shows Connect an SMTP account to send email with a Connect SMTP button.
  6. Send a testIn the summary panel, under Send a test, type your own address and click Send. Test sends are free; they need a template and a sender. Check the subject, the personalisation and the unsubscribe link in your inbox.
  7. Send now or scheduleUnder When, choose Send now or Schedule and pick a time. Send to N now opens a final check that repeats the recipient count, sender and credits, and reminds you that sent emails cannot be recalled. Click Send now to confirm, or Not yet. Save as draft keeps it for later.

Reading the campaign list and report

StatusWhat it meansWhat you can do
DraftSaved, not scheduledReview & send, Edit, Duplicate, Delete
ScheduledWaiting for its send timeCancel schedule (back to draft)
SendingEmails are going outPause
PausedStopped part-way; listed under the Sending filterResume (no new charge)
SentFinishedReport, Duplicate
Needs creditsYour balance was too low at send timeTop up, then Back to draft and send again
FailedNothing was deliveredFix & retry (back to draft), then send again

Open Report to see Recipients, Delivered, Opened, Failed and Skipped, with a per-recipient table you can filter. "Opened" is a flag on a delivered email, set when the email's tracking image loads. Mail apps that block images won't register an open, so treat the open rate as a lower bound.

Pausing or deleting does not refund

Credits for every recipient are charged the moment sending starts. If you pause a campaign and never resume it, or delete it while paused, the credits for the emails that were never sent are not returned. Pause only to fix something, then resume.

A failed send can already be paid for

A campaign is marked Failed only when nothing was delivered. If it failed before sending began (no recipients, or the template or SMTP account is missing), nothing was charged. If every email failed during sending, for example because the SMTP password is wrong, the credits were already charged, they are not refunded, and sending again after Fix & retry charges again. Test the SMTP connection and send yourself a test first. A campaign where some emails went out and others failed ends as Sent, and its report lists the failed recipients.

Safe if something crashes

If sending stops because of an outage, AI Rank Lab resumes it automatically after about ten minutes and skips everyone who already received it. Nobody is emailed twice by a resume.

Empty names leave a gap

{{name}} is replaced with nothing for contacts without a name, so "{{name}}, here's what's new" becomes ", here's what's new". Write subjects that still read well without the name.

Check yourself

1. You send to 1,000 people, pause after 300 and then delete the campaign. What happens to the credits for the other 700?
2. Every email in a campaign failed because the SMTP password was wrong. What happened to the credits?
3. Your open rate looks low. What is one honest reason?
