Export a client-ready report

Summary, work completed, branding and the PDF. Why 'not measured' is not zero.

In shortOnce a comparison is on screen, add a Note for your client and the Work completed, check your branding in Settings → Branding, then click Download report to get a branded PDF. The PDF has a cover, an executive summary with your note, every check with its status, the data notes, your work list and a methodology page. It's free. Values one report didn't record print as "Not measured", never as zero.

What the client report is

The PDF is the comparison you built in the previous lesson, turned into something you can email. It explains what changed, what you did, and what comes next, in your colours and with your logo. It's built for monthly reporting by agencies and consultants, but it works just as well for a manager.

  • Cover: the report type, the two reports compared, the website, the report date and "Prepared by" with your brand name.
  • Executive summary: the verdict, the key figures, the status mix, any Data notes, and your note to the client.
  • Detail: every check, with both values, the difference and its status.
  • Work completed: the changes you logged, with date and area.
  • Methodology: a plain explanation of how audits and AI visibility snapshots are measured and why unmeasured checks are never counted.

Before you start

  • A comparison on screen. See Build a before-and-after comparison.
  • Your branding saved for this domain in Settings → Branding (brand name, logo, theme colour), if you want your own look.

Step by step

  1. Check the branding lineUnder the page header you'll see either Reports use your branding: with your brand name, or Reports use AI Rank Lab branding. Click Change or Add your logo to open Settings, then the Branding tab. Enter a Brand Name, upload a logo, pick a Theme Accent Color and click Save Branding.
  2. Write a note for your clientIn Add to your report (optional), type in Note for your client: what you focused on, what moved, and what's next. Click Save note. The button changes to Saved.
  3. Log the work you didClick Add work. Fill in What did you do? (for example "Added FAQ schema to the pricing page"), pick the Area (SEO, AEO or GEO), add optional details and click Add. Repeat for each change.
  4. Choose the questions for AI visibilityFor AI visibility reports, click Questions included below the Add to your report card to pick which tracked questions appear. Leave it on all, or pick the ones the client cares about, and click Save.
  5. Download the reportWith both reports picked, click Download report at the bottom of the comparison box. The button shows Creating your report… while the PDF is built, then the file downloads.

"Not measured" is not zero

This is the most important idea in the report. Not measured means one of the two reports didn't record that check, for example because no prompts were run in that snapshot's window or the audit didn't cover it. Zero means it was measured and the result was nothing, such as no mentions in any answer.

The report keeps them apart on purpose. Unmeasured checks are left out of the counts and the verdict, so a missing month can't look like a collapse or a recovery. If your client sees "Not measured" next to a figure they care about, the fix is to collect the data next month, not to explain away a zero.

Explain the like-for-like rule once

AI visibility headline figures use only questions and platforms checked in both periods. Clients sometimes compare them with last month's raw totals. One sentence in your note, such as "figures compare the same questions on the same AI engines", saves an email thread.

Gotchas

  • The note and the work list belong to the domain, not to one PDF. They appear in every report you download for that domain until you change or remove them. Clear last month's items before you send this month's report.
  • Work items are dated when you add them, not when the work happened. Log changes as you make them.
  • Branding falls back. If the domain you're reporting on has no branding, the PDF uses the first of your domains that does. Set branding on each client domain so one client's logo never appears on another client's report. With no branding at all, the footer says "Powered by AI Rank Lab".
  • One comparison per PDF. To send both an audit comparison and an AI visibility comparison, download two reports.
  • Team members can't open it. A teammate on a shared domain can't open the owner's progress report; they only see one built from their own account's data. The domain owner downloads it.
  • "AI crawler visits" are tracker visits. In AI visibility reports, the AI crawlers rows come from the AI bot tracker tag: AI-referred visits and JavaScript-running agents, not GPTBot or ClaudeBot crawls. Say so in your note if the client reads them as crawls.

What it costs

Check yourself

1. Your November snapshot has no AI answers. How does the PDF show its mention rate?
2. You logged five changes for October. What happens when you download November's report?
3. Client B's domain has no branding, but client A's does. Whose logo appears on client B's PDF?
